OFFICE ADMINISTRATOR

Location: Cincinnati

JOB PURPOSE

This position is responsible for a variety of administrative functions at our Cincinnati Ohio office.  The incumbent will be handling incoming phone calls, greeting visitors, as well as performing other general administrative office duties. Additionally, this role will be assisting the office staff in a variety of tasks as needed. This is a high visibility role that requires professionalism, the ability to multitask and communicate effectively with visitors and coworkers.

 DUTIES & RESPONSIBILITIES
    • Oversee and support all administrative duties in the office and ensure that office is operating smoothly
    • Process time & quantity entry for assigned projects
    • Process and distribute labor cost reports for assigned projects
    • Process certified payroll
    • Complete new hire packets for union employees
    • Process field checks for union labor employees
    • A/P liaison for Cincinnati projects, including coordination of field tickets, hotel rentals, and rentals as needed for A/P processing, and updating vendor payment information
    • Perform receptionist duties: greet visitors, and answer and direct phone calls
    • Provide other administrative support as necessary, including scheduling group meetings, catering, maintaining calendars, researching, creating reports, and general correspondence
    • Receive and sort incoming mail and deliveries, and manage outgoing mail
    • Booking travel accommodations and reservations as needed
    • Maintain inventory for office supplies
    • Assist with job fair preparation
    • Coordinate services (i.e., cleaning service, lawn care, snow removal) necessary to support the operation of the office
    • Assist Project Management & Estimating in clerical tasks

POSITION TYPE/EXPECTED HOURS OF WORK

This is a full-time position, the workweek for employees is normally considered 40 hours Monday through Friday.  However, the greater emphasis is placed on meeting the responsibilities assigned to this position.

WORK ENVIRONMENT

The work is performed in a non-smoking office environment as well some travel to the jobsite.  The noise level in the work environment is typical of most office environments and the construction jobsite is offsite.

PROJECT SUPERINTENDENT

Location: OH, PA, WV

JOB PURPOSE

The Project Superintendent is responsible for the safety, quality, efficiency, and timeliness of the project.  This position will provide on-site coordination for all phases of the project, including material, equipment, subcontractors, and labor.  While there are specific responsibilities and expectations described below, it is essential that the Project Superintendent be organized, possess good judgment skills, communicate effectively, and have technical knowledge of earthwork, drainage, structural concrete, drilled shafts, etc.

 DUTIES & RESPONSIBILITIES
    • Develop, refine and update the project schedule
    • Complete knowledge and understanding of contract drawings/specifications
    • Understand project costs and manage company assets
    • Create and manage project documentation
    • Coordinate project operations including subcontractors and material vendors
    • Knowledge of all regulations to ensure all aspects of the project are compliant
    • Provide leadership and maintain effective working relationships with the on-site staff
    • Enforce Safety, Quality, Efficiency and Core values
    • Develop daily crew lists and manage field activities to ensure project completion date is met
    • Lead weekly foreman meeting
    • Develop two-week forecast to proactively identify issues that could lead to problems and facilitate solutions
    • Maintain regulatory compliance for projects
    • Ability to interface and maintain good relationship with owners
    • Regular travel to jobs in Ohio, West Virginia, and Pennsylvania
QUALIFICATIONS
    • Civil Engineering or construction-related degree preferred with no less than 10 years of progressive responsibility supervising construction projects
    • Excellent written and verbal communication skills
    • Ability to multitask on complex projects
    • 10+ years construction-related experience
    • Able to meet deadlines and driven to closure
    • Ability to read construction drawings and understand specifications

 DUTIES & RESPONSIBILITIES
    • Oversee the development of project schedule ensuring that all projects are delivered on-time, within the scope and within budget
    • Supervise project buyout with the estimator
    • Perform and oversee submittals and the RFI process
    • Lead planning meetings & attend progress meetings
    • Create agenda for planning and progress meetings
    • Execute the cost to complete reports
    • Review proposed subcontractor and vendor payments
    • Analyze subcontractor billings
    • Maintain logs as needed - Change orders, field orders, submittal, RFI's, change conditions, delays, etc.
    • Track material used on job
    • Collaborate with the Vice President of Project Management to effectively manage projects
    • Work with Estimating to develop accurate cost proposals and estimated cost reports for submission to owner
    • Coordinate payments with lower tier vendors and subcontractors

ABOUT THE JOB
